Bookings Autopilot Wizard Overview

The Bookings Automation Autopilot Wizard in AdvanceCM automates key booking tasks, including guest communication, task creation, and status updates. The automations available help streamline operations and enhance the guest and user experience.

How to Access the Bookings Automation Autopilot Wizard

Navigate to the Automations menu in the top menu bar.

Click on the “Autopilot Wizard” button.

Select Bookings on the Autopilot overlay to access available automation options.

Available Booking Automation Events

1 - Inquiry is Created

If an inquiry is created, you can perform the following actions:

  • Notify the guest about the next steps via email.

  • Notify AdvanceCM users via email. A default pre-filled template will be available when this toggle is enabled.

  • Edit or choose a template for both emails using the “Template” button.

    2- Booking is Confirmed

If a booking is confirmed, you can perform the following actions:

  • Update the booking status to Paid.

  • Notify the guest about the confirmation via email. A default pre-filled template will be available when this toggle is enabled.

  • Notify AdvanceCM users via email. Once this toggle is enabled, an email template will be drafted automatically inside AdvanceCM.

  • Edit or choose a template for both emails using the “Template” button.

3 - Booking is Canceled

If a booking is canceled, you can perform the following actions:

  • Notify the guest about the cancellation via email. A default pre-filled template will be available when this toggle is enabled.

  • Notify AdvanceCM users via email. Once this toggle is enabled, an email template will be drafted automatically inside AdvanceCM.

  • Edit or choose a template for both emails using the “Template” button.

4 - Booking Dates are Changed

If booking dates are changed, you can perform the following actions:

  • Notify the guest via email about the updated booking dates. A default pre-filled template will be available when this toggle is enabled.

  • Notify AdvanceCM users via email. Once this toggle is enabled, an email template will be drafted automatically inside AdvanceCM. You can edit or choose a template for both emails using the “Template” button

  • Create a task with the updated dates and assign it to a user. The task template can be edited, while required fields will be pre-filled by default when this toggle is enabled.

  • Delete all existing tasks created for this booking.

5 - Booking Rental is Changed

If the booking rental is changed, you can perform the following actions:

  • Notify the guest via email about the updated rental name. A default pre-filled template will be available when this toggle is enabled.

  • Notify AdvanceCM users via email. Once this toggle is enabled, an email template will be drafted automatically inside AdvanceCM. You can edit or choose a template for both emails using the “Template” button

  • Create a task with the updated rental name and assign it to a user. The task template can be edited, while required fields will be pre-filled by default when this toggle is enabled.

  • Delete all existing tasks created for this booking.

6 - Booking Guest is Changed

If the booking guest is changed, you can perform the following actions:

  • Notify the guest via email about the updated guest names.

  • Notify AdvanceCM users about the new guests via email. Once this toggle is enabled, an email template will be drafted automatically inside AdvanceCM.

  • Edit or choose a template for both emails using the “Template” button.

7 - Booking Cost is Changed

If the booking cost is changed, you can:

  • Notify the guest via email about the updated cost of the booking. A default pre-filled template will be available when this toggle is enabled.

  • Edit or choose a template for the email using the “Template” button.

8 - Booking is Paid

If a booking is marked as paid, you can:

  • Notify the guest via email. A default pre-filled template will be available when this toggle is enabled.

  • Notify AdvanceCM users via email. Once this toggle is enabled, an email template will be drafted automatically inside AdvanceCM. You can edit or choose a template for both emails using the “Template” button

  • Create a task for the paid booking and assign it to a user. You can edit the task template, while the required fields will be pre-filled by default when this toggle is enabled.

9 - Before Check-in

The time specified at the top applies to all Before Check-in automations, except for the Pre-arrival and Check-in Welcome Message automations, which have their own individual timing settings.

Before the guest's check-in time begins, you can:

  1. Send a pre-arrival message to guest by selecting an email template. A default pre-filled template will be available when this toggle is enabled. You can set exactly when this email will be sent.

  2. Send a check-in welcome message to guest by selecting an email template. A default pre-filled template will be available when this toggle is enabled. You can set exactly when this email will be sent.

  3. Send the Guest Portal URL to the guest.

  4. Notify AdvanceCM users via email by selecting multiple users. Once this toggle is enabled, an email template will be automatically drafted inside AdvanceCM, which you can edit or replace by selecting the “Template” button.

  5. Send a document to sign: Select a template for sending a document for the guest's signature once this trigger is activated. For more details, refer to this help section.

  6. Run for late bookings: Enable this checkbox if the trigger should be activated for bookings that are confirmed or created after the rental check-in time has passed.

10 - After Check-in

After the guest checks in, you can:

  1. Notify the guest via email by selecting an email template. A default pre-filled template will be available when this toggle is enabled.

  2. Notify AdvanceCM users via email by selecting multiple users. Once this toggle is enabled, an email template will be automatically drafted inside AdvanceCM, which you can edit or replace by selecting the “Template” button.

11 - Before Check-out

Before the guest check-out time begins, you can:

  1. Send a reminder to the guest via email for check-out details by choosing an email template. A default pre-filled template will be available when this toggle is enabled.

  2. Notify AdvanceCM users via email by selecting multiple users. Once this toggle is enabled, an email template will be automatically drafted inside AdvanceCM, which you can edit or replace by selecting the “Template” button.

  3. Create a task for the paid booking and assign it to any user. You can edit the task template, while the required fields will be pre-filled by default once this toggle is enabled.

12 - After Check-out

After the guest checks out, you can:

  1. Send a thank-you email to the guest by choosing an email template. A default pre-filled template will be available when this toggle is enabled.

  2. Create a task for property inspection after the guest checks out and assign it to any user. You can edit the task template, while the required fields will be pre-filled by default once this toggle is enabled.

  3. Send a review request to the guest. By default this toggle will be enabled with 5 star rating, a pre-defined review template will be automatically sent to the guest and stored under the Reviews module.

Send review to guest automation toggle will be enabled by default when a user account is created and by default 5 star rating will be selected but property manager can change the rating for individual bookings or change stars count inside template. Learn more about this here
