Integrating Gmail into a Property Management System (PMS) can significantly streamline communication and workflow. Gmail Messaging feature in AdvanceCM allows property managers and staff to communicate efficiently with guests directly within the platform. Whether you need to send booking confirmations or address guest inquiries, the messaging functionality in AdvanceCM provides a centralized, streamlined communication system.
This guide explains how to use the Gmail messaging feature in AdvanceCM to enhance your communication workflow and improve guest satisfaction.
First, click on the Settings option in the top navigation bar, then on Message Settings as shown below.

On the Message Settings overlay, locate the Gmail option and click on the Connect button next to it.

Clicking on Connect button will open popup as mentioned below with option to Connect Gmail Now

Click on Connect Gmail Now and it will open below overlay to select Gmail Account to connect.

Once you choose Account in above step, it takes you to next step where you click on Allow button

Once you have successfully linked your Gmail account to AdvanceCM, you will get below message.

Now if you go to Unified Inbox and see Gmail connection, it shows Connected in Unified Inbox as mentioned in below screenshot.

How to use Gmail when sending a message?
When you are responding to guests in the Inquiry Overlay or in the Inquiry Inbox, choose the Gmail option from the "Via" drop down as mentioned above. You can see the Gmail icon as shown below if any message is sent or received via Gmail.

Property manager can respond back to guest using Gmail option and sent message will appear in Gmail Sent messages of property manager Gmail account

Guest creation while syncing Gmail mails into AdvanceCM
All the messages coming into Gmail Inbox, will be synced inside AdvanceCM Messages tab. Guest will be created automatically for each new Email Address coming inside Messages tab
Guest: Guest name will be created on the basis of email address of sender

Open any new message for which there is no inquiry available, you will see overlay with multiple tabs. You can convert Message to Inquiry by using Convert to Inquiry icon as mention in below screenshot.

How to disconnect Gmail connection?
Property manager can disconnect Gmail connection under Message Settings by clicking Disconnect button. Your old gmail messages synced inside AdvanceCM will stay there.
